Manage suppliers

Suppliers are the parts vendors and sublet providers you order from. They live in Settings under Suppliers, and each is linked to the sites that use it. Your supplier list drives the supplier picker on every parts line, so keeping it clean keeps quoting fast.

Editing, deactivating, and bulk-managing suppliers needs the manage suppliers permission, which admins hold. Service advisors can read suppliers and quick-create one from a quote, but not edit the directory.

What comes set up for you

Every new workshop starts with a default supplier set so the quote builder works on day one: In Stock, Bursons, Repco, Veales, NAPA, CoolDrive, Tyre Shop, Transmissions Shop, and Other. You can rename, add to, or deactivate any of them.

Add or edit a supplier

  1. Open Settings and go to Suppliers.
  2. Use an add row to create a supplier, or click an existing row to edit it.
  3. Set the name, standard margin, account number, phone, email, and an optional contact. Mark it as sublet if it is an outsourced service provider.
  4. Expand the row for address, notes, and active state. Save.

Sublet is a flag, not a separate list

Outsourced providers sit in the same directory. Flagging a supplier as sublet keeps parts vendors and sublet work in one place while staying flexible for reporting and selection.

Site accounts and defaults

The first card on the Suppliers page holds site-level commercial defaults: standard parts margin, standard sublet margin, and a default parts supplier for the site.

Expanding a supplier row shows its site accounts, where you set the account number, preferred flag, and active state per site. These are for local account hygiene. The settings do not expose provider API keys or live ordering.

The default parts supplier gets the star

Set one default parts supplier per site. In the parts picker it shows a gold star and prefills blank manual or quote parts. More specific sources, like a service template or provider data, still take priority over the site default.

Quick-create from a quote or intake

When an advisor is building a quote or entering intake parts and the supplier is missing, they can add it without leaving the flow. A compact box needs only the supplier name; account, location, and contact are optional. The new supplier is reused if it already exists and is linked to the current site.

Quick-create is an escape hatch

Quick-create keeps quoting moving, but full supplier hygiene still belongs in Settings. Tidy up the new entry there when you get a chance.
